2. The Data Processed in Our Systems

We only process data that is required to assign, manage, and execute transport bookings. This information is input manually into our systems by authorised staff at the specific request of customers. We manage the following categories of data:

  • Customer Identity & Contact Data: Name, pickup/destination addresses, email address, and telephone numbers.
  • Driver Identity & Assignment Data: Name, contact details, and vehicle assignment details.
  • Special Category Data (Health & Impairments): We may record specific details regarding a customer's physical or mental health impairments (such as mobility issues or specific passenger requirements) only if the customer voluntarily provides this information during a booking request to ensure their transport needs are met safely.

3. How Data is Collected

Data within our system is collected exclusively via indirect manual entry. Customers and drivers do not log into this platform directly. Instead, data is securely entered by authorised staff when a customer requests a booking over the telephone or via email, or when a driver is provisioned in our system.


4. Lawful Bases for Processing (UK GDPR)

We will only process personal data when the UK General Data Protection Regulation (UK GDPR) allows us to. Our legal processing frameworks are defined as follows:

While no internet-based service can be guaranteed to be completely secure, we continually review and maintain our security practices to help safeguard the information entrusted to us.

  • Secure Cloud Infrastructure: Our booking management system is hosted within a professionally managed cloud environment using industry-standard security controls.
  • Restricted Access: Access to the booking management system is limited to authorised staff, administrators and trustees who require access in order to perform their duties.
  • Encrypted Communications: All communication between users' browsers and our servers is encrypted using Transport Layer Security (TLS), helping to protect information whilst it is transmitted over the internet.
  • Protection of Sensitive Information: Additional safeguards are applied where appropriate to protect sensitive customer information, including health-related details that are required to provide safe transport services.

6. Disclosures of Personal Data

We only disclose personal data to limited third parties necessary to execute our service safely:

  • Service Providers: Trusted third-party providers who supply cloud hosting, infrastructure and technical services on our behalf. Where these providers process personal data, they do so under appropriate contractual obligations and are required to keep that information secure and confidential.
  • Drivers:Drivers receive only the essential customer names, addresses, and specific physical accomodations required to safely execute a scheduled journey.
  • Legal Obligations: Regulators ( such as the UK information Commisioner's Office ) or law enforcement, strictly where required by statutory law.

This website uses only essential cookies that are necessary for the secure operation of the booking management system.

  • Session Cookies: Used to maintain secure login sessions while authorised users are signed in.
  • Security Cookies: Used to help protect the website against common security threats, including Cross-Site Request Forgery (CSRF).

We do not use cookies for advertising, behavioural profiling, analytics or user tracking. The cookies used by this website are strictly necessary for its secure operation and cannot be disabled through the website.
